Email Applications

Microsoft Outlook - Bundled with Microsoft Office. This can be obtained by going to software.cs.vt.edu, selecting College of Engineering, and entering your PID/VT Password.

Thunderbird - Standalone Mail Client. Free. Common Competitor to Outlook. Available at https://www.mozilla.org/en-US/thunderbird.

Microsoft Mail - Included Free with Windows 10.

CS Email

Create Account

To create an account go to admin.cs.vt.edu, click create account, and log in with your Virginia Tech ID. The same method will work if you have forgotten your password, just click forgot password instead of create account. (note: Grad students do not maintain a CS email address except by request.)

Set up Outlook

If this is your first time running out look you will be greeted with a Wizard.

If it is not your first time, open outlook -> click file -> select account information -> select account information again -> then click new account.

  1. Select to set up an email connection
  2. Select manual setup
  3. Input your Name, CS - Email address, and your password
  4. Select IMAP, Incoming mail server (mail.cs.vt.edu), outgoing mail server (smtp.cs.vt.edu), username (PID)
  5. Select more Settings -> Advanced Tab
  6. Select SSL for both Ports, Incoming port should be 993, out going port should be 465
  7. Switch to the Outgoing server Tab: Put a Check in: My outgoing server requires Authentication, and select use same settings as my incoming mail server.
  8. Apply the changes and close the window, then click next. Outlook should send a test message. Click finish.

Set up Thunderbird

VT Gmail

Virginia Tech switched from using Exchange Emails for everyone to Gmail. These accounts are managed by VT but are hosted through Gmail. As of right now they require their own password.

Outlook

If this is your first time running out look you will be greeted with a Wizard.

  3. Input your Name, Gmail address, and your password (Note: If you turn on 2-Factor Authentication, You will need to obtain an app password from Google specific to your account)
  4. Select IMAP, Incoming mail server (imap.gmail.com), outgoing mail server (smtp.gmail.com), username (PID)
  5. Select more Settings -> Advanced Tab (This step isn't required for Mac)
  6. Select SSL for both Ports, Incoming port should be 993, out going port should be 465
  7. Switch to the Outgoing server Tab: Put a Check in: My outgoing server requires Authentication, and select use same settings as my incoming mail server. (This step isn't required for Mac)
  8. Apply the changes and close the window, then click next. Outlook should send a test message. Click finish.

Thunderbird

Exchange Email

If you decide to use the default Android or iOS mail apps instead of the Microsoft Outlook app, please make sure you adjust your settings to the following:

Email: pid@vt.edu
Server: outlook.office365.com
Domain: hokies
User Name: pid@vt.edu
Password: your hokies password

Obtain 2FA Password from Google

  1. Log into you Gmail account in the web browser of Choice
  2. Click on the Gear icon on the right
  3. Select Settings
  4. Select Accounts and Import
  5. Select Google Account settings
  6. Select Signing into Google
  7. Click App Passwords
  8. Validate your password again (If requested)
  9. Verify the login with 2fa (If requested)
  10. Under the Select App Dropdown select Mail
  11. Under Select Device - Select whatever device matches what you are generating a password for
  12. Click Generate
  13. This Password is what you will use instead of your VT Google Apps Password.

Forwarding

CS Account -> Another Email Address

  1. Go to admin.cs.vt.edu
  2. Log in with your SLO Account
  3. Select ⯈My Account
  4. Select ⯈My Email
  5. Put a check mark in Enable Forwarding to:
  6. In the box below it type in the Email Address for the other account
  7. Click update Forwarding

VT Gmail Account -> CS Email Account

  1. Open the Gmail account by going to VT Gmail
  2. At the top right, click the gear Settings.
  3. Select Settings.
  4. Select the Forwarding and POP/IMAP tab.
  5. Click Add a forwarding address in the “Forwarding” section.
  6. Enter your CS email address
  7. For your security, we'll send a verification email to that address. Open your other email account and find the confirmation message from the Gmail team. If you’re having trouble finding it, check your Spam folder.
  8. Click the verification link in that email.
  9. Back in your Gmail account, reload the page in your web browser - look for the reload icon Reload.
  10. On the same Forwarding and POP/IMAP page in Settings, check that Forward a copy of incoming mail is selected and your email address is in the drop-down menu.
  11. In the second drop-down menu, choose what you want Gmail to do with your messages after they’re forwarded, such as keep Gmail’s copy in the Inbox (recommended) or archive Gmail’s copy.
  12. Click Save Changes at the bottom of the page
